What charity events managers ask before the first conversation.

We have a set production budget approved by trustees. Can you work within it and be honest about what's possible?+
Tell us the budget at the start of the brief call. We'll tell you exactly what it buys in that venue for that room size and programme. If there are elements that don't fit, we'll say so and suggest alternatives. We don't quote a stripped rig to win the job and then add back costs through change orders. Trustee budgets get treated the same as any other budget: honestly.
The celebrity entertainment team have sent a technical rider. We don't know how to interpret it. Can you deal with this?+
Yes, and you should send it to us as soon as it arrives. We'll read it, identify what's required, flag anything that conflicts with the venue limitations, and do the production advance call with the artist's PM. You don't need to be in that conversation. The rider items that matter for your budget will be explained in plain language without technical detail that doesn't concern you.
How do you manage the sensitive moments in the programme, like the beneficiary video or the donation ask?+
Those moments are marked in the production run of show we build from your programme. Our operator knows the cue. The lighting shift for the film, the audio level for the room when the ask is being made, the screen content that needs to be visible during the fund-a-place moment. None of it is improvised on the night. It's rehearsed. We treat those moments with the same significance the charity does.
The hotel venue has its own preferred AV supplier. Can we use Lux Technical instead?+
Usually, yes. Most hotel venues allow external technical suppliers with advance notice and sometimes a facility fee. We're experienced at having the venue conversation on your behalf, and we work with hotel events teams regularly. If there are venue-specific restrictions, we'll find out at recce stage before you've committed anything.
What's the realistic lead time for booking you for a gala dinner?+
We prefer eight to ten weeks for the full production including custom staging and entertainment technical. It's possible to work within six weeks for most charity galas, but the rider management and scenic fabrication timelines get tighter. For recurring annual events, we prefer to hold provisional availability immediately after the previous year's event so you're never racing the calendar.
