Preferred AV Supplier for Hotels

The AV Supplier Your Events Team Recommends Without Hesitation

Your guests judge the hotel partly on the events they attend there. When the AV fails, when the staging looks like an afterthought, when the lighting makes a winter wedding look clinical — it reflects on the property. Lux Technical is the production partner independent hotels and boutique venues keep on their preferred supplier list because the alternative costs them bookings.

Why the wrong AV supplier damages your venue

The events that go well get attributed to the client. The ones that go badly get attributed to your venue.

A venue's reputation is built on what people experience, not what you tell them they'll experience. When an AV company loads in late, leaves flight cases in a corridor guests are walking through, can't solve a feedback problem before dinner service, or sends a crew who haven't worked in your ballroom before — the guest doesn't blame the AV company. They blame the venue that recommended them.

Independent hotels and boutique venues come to us after exactly that situation. We work on preferred supplier arrangements where our standard of delivery protects your venue's reputation with every event, not just the ones you're watching closely.

  • Load-in completed within the access window agreed with your events or operations team, without exception
  • Kit that works in your specific rooms, not generic dry-hire stock that may or may not be compatible
  • A team that treats your venue, your staff and your guests with the same care as they would their own workspace
  • Pre-event documentation shared with your events manager before load-in, not on the day
  • One contact for client enquiries — we pick up when your clients call with production questions
  • Pricing that makes sense to quote to your clients without margin conversations becoming awkward

Preferred Supplier Arrangement

We work on formal preferred supplier arrangements with hotels and venues. This means being available to pick up client enquiries forwarded through your events team, providing production quotes in a format your clients understand, attending site meetings on request, and delivering events to a standard you can recommend without qualification. Preferred supplier relationships are reviewed annually.

We provide a one-page summary of what we offer, pricing guidance for common event formats, and a direct contact for client enquiries. Clients are quoted and briefed promptly. Your team isn't left chasing a supplier who doesn't answer emails in the booking window.

What good looks like in a hotel setting.

Hotel events have operational constraints that venue-only production teams don't face. We work within them without making them your problem.

What hotel events teams tell us after working with us

The practical reasons the same venues keep calling us.

🏠
We understand how hotels operate

Access windows, banqueting turnarounds, guest corridors, listed building constraints. We've worked in enough hotel venues to not need explaining any of it. Every event is planned around the hotel's operational reality.

📋
Invisible load-in, invisible load-out

Flight cases are off the corridor before guests see them. The crew is in black. The load-out is done between event end and the first member of hotel staff starting the morning shift. Your guests never know we were there.

📞
We deal with your clients directly

Your events team forwards the enquiry. We come back with a production brief and a quote. Your client doesn't need to chase. Your team doesn't need to translate between the client and the AV company. We handle the relationship commercially and professionally.

👫
Equipment that works with your rooms

We don't dry-hire unknown stock for established venue partners. We spec kit that we know works well in your specific spaces, with your room acoustics, your ceiling heights, and your power distribution. Fewer surprises on event day.

🌟
Standards your guests notice without knowing why

The lighting at a level that makes the room look intentional, not institutional. Audio at a level that carries across dinner tables without dominating. Staging that fits the architecture, not just the footprint. These things form the experience guests remember and review.

🗺
Ongoing relationship, not individual transactions

Preferred supplier arrangements mean we know your venue's quirks, your team's preferences, and your standards before we arrive. The first event takes longer to set up than the fifth. By the fifth, we could almost do it from memory.

Questions from hotel events teams

What venue managers and events directors ask before recommending us.

We already have an in-house AV system. How do you work alongside the venue's existing installed equipment?+
We assess the installed system at recce stage and design around it where it's useful. If the venue has a working PA system, we integrate rather than replace where possible. Where the installed system isn't appropriate for the event format — which is more common than venues expect for complex events — we supplement or replace with our own. We'll always tell you what we're bringing and why before the event day.
How do you handle events in a listed building where rigging is restricted?+
Listed buildings are a routine part of our work. We do a recce with the listing constraints in front of us, design around structural limitations, use ground or free-standing rigs where ceiling hanging isn't permitted, and get pre-approval from the venue's conservation contact where required. We've never had a compliance issue at a listed building. That's not luck; it's preparation.
What does a preferred supplier arrangement look like in practice?+
We agree a rate card for your most common event formats, give your events team a direct contact, attend an annual meeting to review and update. Clients referred by your team are quoted and briefed within 24 hours. For events at your venue, we give load-in and load-out priority to your operational calendar. The arrangement is reviewed annually and we expect you to tell us if any aspect isn't working.
Our venue hosts a mix of weddings, corporate events and charity galas. Can you cover all formats?+
Yes. We specialise across those three formats and have experience in each. The technical requirements are different — wedding production needs to be invisible and photography-optimised, corporate events need precision timing and confidence monitors, gala dinners need programme management through entertainment and auction sequences. We understand the difference and don't field the same generic setup for all three.
We've had AV companies damage fixtures during load-in. How do you handle venue property during production?+
All Lux Technical crew are briefed on venue protection standards before every load-in. Flooring protection placed before any kit moves. No equipment against walls without padding. All flight cases on wheels or furniture dollies. We're fully insured for accidental damage but the target is no claims. In over 10 years of hotel events, we have had one minor incident, which was reported immediately, repaired commercially and independently verified by the venue.
