Private Concert Production: Bringing Live Music to Private Events

A private concert is one of the most technically demanding and creatively rewarding formats in the private event sector. When the sound system, the lighting design, and the performance work together in a domestic or private venue setting, the result is an experience that the guests will talk about for a long time.

What a private concert requires technically

A private concert — whether a solo pianist, a small ensemble, a full band, or a headline artist performing privately for a single client — requires technical production that is designed for the specific performance in the specific space. It is not a reduced version of a touring production scaled down to fit a marquee or a ballroom. It is a purpose-designed system that delivers the same quality of audio and visual experience as the performance warrants, within the physical and acoustic constraints of the venue.

The fundamental difference between a private concert and a public concert from a production perspective is that the entire environment, including the guest experience, the artist's experience, and the technical infrastructure, is being created from scratch in a space that was not designed for it. This requires more technical creativity and more thorough advance planning than a production in a purpose-built venue. Every element from the power supply to the acoustic characteristics of the room needs to be understood before the specification is produced.

PA specification for domestic and private venues

A private residence or private venue with rooms significantly smaller than a festival stage or a concert hall requires a PA specification that is calibrated to the acoustic environment. A system designed for outdoor concert use, deployed in a marquee at a fraction of its capacity, will produce a distorted and overwhelming sound experience. The PA system for a private concert should be specified for the room dimensions, the expected audience size, the specific performance type, and the noise constraints that apply at the location.

Line array systems designed for large venues produce a very different sound close-up than they do at fifty metres. Ground-stacked point-source systems can often be more appropriate for intimate private settings, positioned carefully relative to the room geometry to avoid early reflections from parallel walls. Flying system elements in a marquee or temporary structure requires structural assessment of the available rigging points. Each of these questions needs an answer before the specification is finalised, not on the truck loading day.

  • Obtain the room or marquee dimensions and a description of the surface finishes before specifying the PA system.
  • Establish the maximum acceptable sound level at the venue boundary if the event is outdoors or in a temporary structure.
  • Confirm available power supply in terms of total load capacity and distribution before specifying an amplification system.
  • request the artist's technical rider early, before the production specification is finalised.

A headline artist performing privately for a client's guests expects their technical rider to be met. This is not a negotiating position. It is the condition under which they will perform at their best. The production company that reads the rider thoroughly, identifies the specific requirements that need confirmations or alternatives in the private setting, and resolves these before the event day gives the artist the conditions to give a performance that the client will be talking about for years.


Lighting for live music in non-theatrical environments

Lighting for a live performance in a private setting does two things: it creates a visual experience that enhances the music and the performer's presence, and it manages the ambient light levels in the room to support the performance environment. A performer singing in direct competition with uncovered windows or room lighting that is not dimmed or controlled will not be presented to best effect regardless of how impressive the production lighting is.

A focused moving head or wash rig for the performance area, combined with a venue atmosphere that is programmed to shift from ambient dinner or reception levels to a concert atmosphere as the performance begins, is the minimum lighting approach for a private concert. More elaborate designs can incorporate follow spots, colour-graded atmosphere washes, and effects that respond to the progression of the set. These are design decisions made in conversation with the artist and the client, not independently by the production company.


Technical management of the artist and their requirements

The technical management of a significant artist performing privately requires the same professionalism and preparation as a public performance, plus an additional layer of attentiveness to the private setting. The artist's personal monitor mix needs to be right. Their mic positions and stand heights need to be as they have specified. Any personal technical preferences they have communicated in advance need to be implemented, not noted and then forgotten.

The artist or their management will also have requirements around the private nature of the engagement. The production team should not photograph the artist in the private setting, should not post about the engagement on social channels, and should treat the artist's participation in a private function with the same discretion applied to the client. In many cases the artist will require their own NDA. This is standard practice and should be agreed in advance of the event.

Frequently asked questions

How do we power a full concert PA system at a private residence?

A large PA amplification system requires three-phase power supplied by a temporary generator or by a dedicated electrical supply from the building. Domestic single-phase power is not sufficient for a full production PA draw. Generator sizing should be calculated from the total load requirement including amplification, lighting, and any stage infrastructure, with a headroom margin. Generator placement needs to consider noise: generators near the performance area will interfere with the sound quality.

Can a private concert be held outdoors?

Yes, with the appropriate outdoor PA system specification, weatherproofed equipment, and wind management for microphone positions. Outdoor private concerts also need noise assessment for the surrounding neighbourhood, and in most locations a temporary event noise licence or advance coordination with the local authority is required. The production company should advise the client on these requirements before the event is confirmed.

What is the lead time for engaging a headline artist for a private event?

Depends on the artist and their calendar. Many significant artists have schedules that are fully committed six to twelve months ahead, and private engagements are accepted through their management rather than through an agency booking process. The production company is typically responsible for meeting the technical rider once the artist is engaged, not for the engagement itself. Build in time to receive and assess the rider before the production specification is confirmed.
